Southern Allotments AGM 2025

Proposed amendments to the Society Constitution

At this year’s AGM, the membership will vote on changes to the original Southern Allotments Society Constitution. The amendments will help accommodate the much wider remit and development of the Society member and site services with the ability to implement those services in a more efficient and timely manner. As a (paid up Lessee) member of the Society, each member has the opportunity to vote on the proposed overall changes to the constitution in person at the AGM and where attendance is recorded.

We provide a link here to the existing Society Constitution showing proposed amendments (with any additional texts shown in red and any removals/changes to existing text shown as strike through).

The committee invite our members to read the proposed constitution and submit any feedback during the consultation period and which will close 5th November at midnight.
Any feedback received will be discussed in person at the meeting and a vote will be taken at the Annual General Meeting to ratify the proposed changes to the Society Constitution.

Society Committee role self/other nomination

The Southern Allotment Society is made up of nominated and elected members who undertake each of the defined roles each year. At the Annual General Meeting, the current committee resigns and either stand again for re-election or new nominations are invited to replace departing committee members or new roles that have been created. Committee members are then seconded/voted in by a majority.

This year, the society will need to vote in three co-opted committee members and two new committee roles. (Co-opted roles are existing Committee roles that have become vacant since the last AGM and where the existing committee have appointed plot holders in the interim and until they stand and/or voted in at the next AGM). The co-opted committee roles are as follows:

Chair of the Society – Craig Wilkinson currently as Acting Chair, previously retiring as Secretary

Secretary – Anna Kushlick as Acting Secretary

Lettings Officer – Michelle Mens as Acting Lettings Officer

As the remit of the Society has increased, the committee has now agreed that two new roles will be created to further support the Society and these can be read by clicking on the roles below:

Learning & events Coordinator (Committee role)

Facilities & Site Coordinator (Committee role)

If you wish to nominate yourself for one of the new committee roles shown above the links below, please download, complete and submit the nomination form before 1st November 2025.
Completed nomination forms can be emailed directly to societyadmin@southernallotments.org

Voting for nominees will take place in person at the AGM on 12th November 7pm.

Non-committee roles

The Society has also defined some additional new roles which do not require the commitment of a full committee position but where the person fulfilling that role can either coordinate or support a particular project/task on behalf of the committee. The two types of role (along with some example projects/duties) are shown below:

Project lead roles

  • Management of the (planned) accessible plot
  • Management of the communal Polytunnel
  • Organisation of Society presence at External events
  • Coordination of excess crops to food charities
  • Managing/managing access to the nature reserve
  • Being a Plot Buddy
  • Helping promote Society events

Supporter roles

  • Workday attendee
  • External event team member
  • Learning event support
  • Food charity drops offs
  • Internal event support
  • Being a Plot Buddy
  • Presence at Society events

If you are interested in being a project lead or supporter, you do not need to self-nominate and instead, just let the committee know by completing the contact us form here
